Fundraising Agreement Policy

This policy outlines the expectations and requirements for fundraisers taking part in third-party challenge events (such as marathons, runs, walks, and similar activities) on behalf of Brake. Its purpose is to ensure that charity funded event places are used responsibly and that fundraising commitments are met.

Third-party challenge events

1. Charity funded event places

  • Brake may cover the cost of a charity place for selected challenge events.
  • These places are provided on the condition that the fundraiser commits to raising an agreed minimum fundraising target.
  • The fundraising target ensures that the cost of the place is covered and that the fundraiser’s participation supports Brake’s charitable work.

2. Fundraiser commitment

By taking part in a challenge event on behalf of Brake, the fundraiser agrees to:

2.1 Minimum fundraising target

  • Raise at least the minimum fundraising target agreed before registration.
  • Demonstrate clear progress towards the fundraising target by the agreed date.

2.2 Communication

  • Respond to contact from Brake regarding fundraising progress.
  • Provide updates when requested.

3. Withdrawal of charity place

Brake reserves the right to withdraw a charity funded place if:

  • The fundraiser has not started fundraising at least two months before the event.
  • There is no evidence of progress toward the agreed fundraising target.
  • The fundraiser does not respond to Brake’s attempts to make contact regarding progress.
  • The fundraiser acts in a way that could bring Brake into disrepute.

Brake will always attempt to contact the fundraiser and offer support before withdrawing a place. If a place is withdrawn, the fundraiser must not participate in the event using Brake’s name, branding, or charity allocation.

4. Use of Brake’s brand

  • Fundraisers may only use Brake’s name, materials, and branding when promoting their challenge.
  • Materials must be used responsibly and in line with Brake’s values.
  • Fundraisers should not produce their own branded items without approval.

5. Health, safety, and participation

  • Fundraisers take part in the challenge event at their own risk.
  • They are responsible for ensuring they are physically prepared and medically fit to participate.
  • Any training, equipment, or preparation required for the event is the responsibility of the fundraiser.

6. Handling of donations

  • Donations must be collected legally, transparently, and responsibly.
  • Fundraisers should use official platforms unless otherwise agreed.
  • All funds raised must be transferred promptly to Brake, unless through a third-party fundraising platform where donations are automatically transferred to Brake.
  • Once a donation has been made to Brake via online fundraising platforms, it cannot be refunded, even if the fundraiser later becomes unable to take part in the event.

Brake has committed to follow the Fundraising Regulator's Code of Fundraising Practice and Fundraising Promise. Click here to find out more.

7. Withdrawal from the event

  • If the fundraiser becomes unable to participate, they must inform Brake as soon as possible so that alternative arrangements can be made.
  • Any funds already raised for Brake are non-refundable.
  • Requests to defer a charity place to a future event will be considered on a case-by-case basis and are subject to availability. Deferrals are not guaranteed.
  • Any registration fees or deposits paid are non-refundable and cannot be transferred if a deferral is not possible.

8. Policy acknowledgement

All fundraisers must confirm that they have read, understood, and agreed to the terms of this policy before receiving a charity funded event place.
