1. Contact details
Please provide contact details of the person submitting the award entry. Please include a daytime phone number and email address so that the relevant person can be contacted if there are any questions in relation to the entry.
2. About your organisation
Please select from commercial, public or not for profit. If your organisation does not fit into any of these categories, please select ‘other’ and specify type of organisation.
Please select an organisation type from fleet operator or fleet supplier. If your organisation does not fit into either of these categories, please select ‘other’ and specify type of organisation.
Please tell us how many drivers you employ. This should include anyone who drives for work purposes (including people who drive their own vehicles, i.e. ‘grey fleet’), as well as professional drivers.
If you operate a fleet, please insert the number of each vehicle type and the total number of vehicles you operate. Please make sure you include employees' own vehicles if they use them to drive for work purposes ('grey fleet'). Please note that some award categories are split into size of fleet, so it is important to complete this to ensure you are entered into the correct category. If you do not operate a fleet, please leave blank.
3. Word limit
Please take care to ensure that you do not exceed the word limit for each question. Any information over and above the word limit cannot be considered due to the volume of entries.
4. Use of AI tools to generate award entries
Brake recognises that it is becoming increasingly common to use AI tools to assist with drafting, organising, and editing award entries. All entry forms include an AI declaration where you must state if you have used an AI tool to complete your entry, and confirm that your final submission has been reviewed by a human to ensure accuracy and authenticity.

Please note that entry forms include some question logic, to guide you to giving the information that is relevant to you. Depending on your response to some questions, you may not be required to answer every question that follows.
Award categories
Categories are listed below, together with some notes on what judges are looking for from successful entries.
Across all categories, judges will be considering whether the initiative / product / service is described clearly and succinctly, how comprehensive and far reaching it is, and whether it is an appropriate measure to address the issue of risk reduction, or any other more specific issues highlighted by the entrant. Consideration will be given to the level of thought and detail that has gone into the entry, within the word limitations of course.
For the private sector organisation that has implemented initiatives that effectively enable drivers to be safe.
Judges will be looking for organisations that comply with the very highest driver safety standards, with effective written policies to manage driver risk, and rigorous procedures for recruiting, testing and training drivers.
Judges will also reward education and awareness-raising initiatives about safe driving that extend beyond employees to their families.

For police, fire & rescue, ambulance and other emergency services organisations that have implemented initiatives that enable their drivers to be safe.
Judges will be looking for emergency services organisations that comply with the very highest driver safety standards, with effective written policies to manage driver risk, and rigorous procedures for recruiting, testing and training drivers.
Judges will also reward education and awareness-raising initiatives about safe driving that extend beyond employees to the wider community.

For the organisation that is working to achieve zero deaths and serious injuries through its transport activities, while simultaneously cutting vehicle emissions.
While fleets face a huge environmental challenge, they are also well placed to reduce both distances driven and the huge environmental impact of road travel worldwide.
Judges will be looking for organisations that have done the most to reduce road risk and fuel emissions across their business activities, for example by introducing safer, cleaner vehicles; , enabling active and shared travel; or improving journey routing to reduce distance travelled and avoid routes through built-up areas.
Judges will be looking for organisations that have set robust targets and can demonstrate progress towards these targets with tangible results.
Judges will be looking for entries that meet this challenge through a range of initiatives, rather than just one of those listed above.
For the organisation that has implemented strong management systems to identify and tackle the safety and environmental impact of vehicles used on its behalf, carrying out risk and environmental impact assessments, monitoring and recording incident and fuel usage data, analysing data and researching and implementing effective interventions.
Judges will be looking for a rigorous approach to data capture and analysis of incidents, as well as, crucially, application of that data to make changes and inform other measures and interventions that actively reduce risk and improve safety.

For fleet operators and suppliers that have developed a pioneering approach to fleet safety over the last couple of years, with the greatest success.
Judges are looking for organisations that are developing innovative technology, or implementing the latest technological solutions, to make drivers, journey and vehicles safer, with proven, demonstrable results.
Please note initiatives included in this category should either be new or have undergone significant new development in the past 18 months.

For the partnership of a fleet service provider or operator with another organisation that has delivered the most outstanding results to improve fleet safety.
The ability to look outside of your own organisation, to learn from others, and to collaborate in the interests of a common goal is incredibly valuable in financially challenging times. Judges will be looking for innovative partnerships that are of mutual benefit and deliver the greatest impact on road risk reduction.
For the product that does the most to improve fleet safety through the development of innovative non-digital products.
Judges are looking for non-digital products that are new, which can be clearly differentiated from anything else available on the market, with a proven potential to make drivers, vehicles and/or roads safer.
Please note initiatives included in this category should either be new or have undergone significant new development in the past 18 months.
For the organisation that has worked hardest to improve the safety and environmental impact of vehicles used on behalf of their business.
Vehicle safety is crucial to road safety and an important pillar of the Safe System approach to road safety. Brake is a long-term advocate of safe vehicles, with modern safety features that can prevent crashes, and reduce the risk of death or serious injury if a crash does occur.
Judges will be looking for organisations that comply with the very highest vehicle safety standards, with effective written policies and robust procedures for procuring the vehicles they use, inspecting them regularly, and keeping them well maintained.

For the fleet organisation that has made a positive impact on society and the environment, by improving wellbeing, community strength, and sustainability. This organisation will have road safety at the heart of its corporate social responsibility ethos.
Judges will recognise organisations that can demonstrate they have made sound business decisions that look beyond financial profit to change people's lives and communities for the better. This could be through sustainable practices, fundraising initiatives, local hiring, community investment, or outreach work.
Examples include organisations that have worked hard within their local community to help people make safe and healthy journeys, for example, by funding road infrastructure improvements such as segregated foot paths and cycle paths, or a crossing near a school.
Judges will also reward organisations that have campaigned for change and engaged people in their communities to speak out for change with them.
For the fleet manager who has implemented exemplary road risk management policies with proven results.
Judges are looking for detailed information about the policies and procedures the nominated person has implemented, as well as details of how they personally have helped to instil a road safety culture within the organisation and achieve these results.

For the fleet team that has delivered outstanding performance and gone above and beyond in the line of duty.
Judges will be looking for teams who have acted as champions for road safety, and helped change their organisation’s culture to put safety first and protect themselves and others on the roads.
For the organisation or individual that has gone above and beyond the call of duty in its commitment to road safety, not just within the company but also the wider community. Individuals cannot enter this Award themselves, but can nominate another individual within their organisation, or an individual in the wider industry, using the entry form.
Judges are looking for detailed background information about the nominated individual or organisation, including both the work they undertake and activity they undertake outside of their role which demonstrates their commitment to road safety.

For the fleet manager, supervisor or driver who has carried out a heroic act in their line of duty.
Judges are looking for someone who has gone above and beyond their employee responsibilities to help someone in need. This could be stopping at the scene of a crash to call emergency services, help keep people safe or provide emergency first aid treatment, or stepping up and speaking out to help a colleague in their time of need.
Judges will also recognise organisations that have taken an exemplary approach to supporting an employee that has been involved in a road crash, following best practice for trauma-informed, post-crash support to help someone make the best recovery possible.

Supporting evidence
You may submit additional supporting information of up to two sides of A4 for each award you enter. This could include evidence to support your entry such as sections of reports or research, graphs showing your results, letters from your customers describing how effective your product or initiative has been, or photographs and short video content (no longer than two minutes).
This information must clearly indicate your organisation name and the award entry for which the additional information supports. If the same supporting information applies across all categories entered, then only two sides should be provided.
Unfortunately, any information over and above two sides of A4 cannot be considered due to volume of entries.
